Marmon Mok Architecture, a leading Texas architectural practice, seeks a talented individual for our San Antonio team.

Description: Administrative Assistant with 3 years of experience, minimum. This role is primarily in-office, with a limited ability to work from home per company policy. This position requires: a pro-active and responsible individual who has a strong work ethic and can work in a team and maintain communications and expectations. Previous experience working in the AEC (Architecture/Engineering/Construction) industry preferred. In lieu of this, similar experience working for a consulting services type firm will be considered.

Responsibilities:

Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the firm. Supports partners, project managers, and staff through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices, and procedures.

Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.  Must have ability to handle proprietary and sensitive information in a confidential manner.

Typical Tasks and Preferred Skill Set:

  • Meeting Minutes: Consolidate, format, distribute, and back-up meeting minutes
  • Consultant Contracts – coordinate edits with Project Partner
  • Update team Outlook calendar with meetings
  • Send out meeting invites and book conference rooms as needed, including room setup/take-down and coordinating lunch preferences with staff and meeting guests
  • Maintain contact lists via Open Asset and Outlook
  • Produce and distribute correspondence memos, letters, and forms
  • Maintain network filing system for projects
  • Book travel arrangements as needed
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Transcribe dictation
  • Handle multiple projects on various levels as needed by architectural/interior design staff
  • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Write letters and emails on behalf of other office staff
  • Reply to email, phone, or face to face enquiries
  • Assist partners with their day-to-day business operations as needed
  • Photocopy and print out documents on behalf of other colleagues
  • Assist with Purchase Orders
